What we collect, and when

When you request a quote or open a calculator. To use the sizing calculators we ask for your name, mobile number and, in some cases, your email address, together with the service you are interested in. We ask for these because a sizing result is only useful if an engineer can follow it up with you.

When you use a calculator. We record a summary of the calculation you ran — for example the pool volume, target temperature and resulting capacity — alongside the contact details above. This lets our engineering team see what you were quoted and prepare properly for a site survey.

When you contact us. If you write to us by email, WhatsApp or social media, we hold that correspondence and the contact details you used.

Automatically. Our server records the IP address of requests in order to rate-limit abuse. Your browser stores your language and light/dark theme preference locally on your device; those preferences are never sent to us. Staff who sign in also store a session token in their browser.

We do not use advertising pixels, analytics trackers or profiling cookies on this website.

Why we use it

We use your contact details and calculator history to respond to your enquiry, prepare a quotation, arrange a site survey and provide after-sales support. Where you have given us your details in order to receive a quote, we rely on your consent and on the steps necessary to enter into a contract with you. We rely on our legitimate interest in securing the website for the limited technical logging described above.

We do not sell your personal data, and we do not use it for advertising.

Who we share it with

We share personal data only with service providers who help us operate the site and follow up on enquiries:

• Railway — application and database hosting • Cloudflare — content delivery and website security • Google — lead notifications are forwarded to an internal Google Apps Script endpoint so our sales team is alerted

These providers process data on our instructions. Some of them store data on servers outside Egypt; where that happens we rely on the cross-border transfer conditions set out in the Personal Data Protection Law and its Executive Regulations.

We may also disclose data where we are legally required to do so.

How long we keep it

We keep enquiry and quotation records for as long as needed to serve you and to meet our commercial and tax record-keeping obligations, and we delete or anonymise them when that period ends. If you ask us to erase your data sooner, we will do so unless we are legally required to retain it.

Your rights

Under the Personal Data Protection Law you have the right to:

• know what personal data we hold about you and obtain a copy of it • have inaccurate data corrected • have your data erased • withdraw your consent at any time • object to or restrict certain processing • complain to Egypt's Personal Data Protection Centre

To exercise any of these, email [email protected]. We will respond within the period required by law. Withdrawing consent does not affect processing carried out before you withdrew it.

Security

Access to enquiry and calculator records is restricted to authorised Heatec staff, and staff accounts are password-protected with hashed credentials. Traffic to this website is encrypted in transit. No system is perfectly secure, but we take reasonable technical and organisational measures to protect your data.

Children

This website is intended for adults arranging heating work for a property. We do not knowingly collect personal data from children.

Changes to this policy

If we change how we handle personal data we will update this page and revise the date above.
